Perform reviews of operating and maintenance costs in accordance with lease requirements; works with landlords to confirm operating and maintenance costs and performs account reconciliations for review and approval by the Property Manager to facilitate payments, where appropriate. Assist the Manager with property management issues by conveying policies and priorities, obtaining quotes and coordinating work to ensure issues are resolved or forwarded to the appropriate area or individual. Responsible for the ensuring the accuracy of the asset database program for the organization, including the input of leases, contracts, contact information, landlord and tenant responsibility information; updates and maintains the information to ensure accurate and proper maintenance of records and reporting. Manage tenant-related information through varying checklists, forms and reports, including but not limited to estoppel certificates, monthly rent roll and lease abstract approvals. Assist with producing related reports, correspondence, presentation materials, spreadsheets and memos using a variety of software applications, as required. As Program Coordinator, you will be responsible for the administrative management and for overseeing the set of tasks related to the daily monitoring of internal and external clients. The position requires working collaboratively within the Integrated Project Team (IPT), Davie’s functional teams, and coordinating all aspects of the ferry program contract design phase to ensure project requirements are met and fully tracked within the corporate record. More specifically, you will: Prepare and coordinate program-related documentation, including but not limited to contract documents and agreements, contract deliverables, program procedures, change orders, site instructions and program meeting minutes. Develop and maintain program correspondence records. Scan and save documents in appropriate filling system. Develop and maintain program trackers, including but not limited to program commitments and request for proposal (RFP) responses.  Support and attend meetings for the purpose of taking minutes (reservations, notes, actions, compilations and distributions, food and beverages, etc.). Support and attend work in progress meetings. Minutes and action tracking will be required. Support the Director, Ferry Program, as required, including but not limited to cost control, scheduling, standards, specifications, corporate policies and procedures and applicable contract legislation. Coordinate monthly risk review meetings using the company’s risk tracking application, M-Files. Set up and manage various meetings in calendars. Set up conference calls - telephone and video. Coordinate and monitor IT requests. Maintain Program Management Office (PMO) annual vacation calendar. Maintain program organization chart. Purchase stationery as required for the whole of the program teams. Coordinate flights, hotels, cars and temporary accommodations as per the corporate policy (using the MELON application). Record all travel expenses and ensure compliance with the corporate policy. Coordinate arrival of visitors, personal protective equipment (PPE) and safety training for new subcontractors. Provide various administrative support needs for the PMO as required. Make sure that internal control systems exist and that they are implemented during various stages of the project, according to the company’s standards. Provide data and regular reports identifying actions, decisions and deliverables needed to meet the program schedule. Respond to requests for support from other PMO members. Perform other duties as may be requested by the Program Director. Qualifications: Diploma in business administration or related technical field. Minimum of three (3) years experience in an administrative or related position. Knowledge of the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Strong personal computing skills and knowledge of Davie’s IT system.  Sense of priority, ability to work on several projects simultaneously. Strong problem-solving skills, experience formulating and executing action plans. Bilingual (French and English). Position Overview The Steam Generator Replacement Team (SGRT) project is a fully integrated Joint Venture of Aecon, United and Framatome, located in Kincardine, Ontario. SGRT is a part of the Major Component Replacement (MCR) project and includes the removal of the steam generators at Unit 3 and 4 and the installation of replacement steam generators with related plant modifications. This project is part of Bruce Powers Life Extension Program, which will allow Bruce Powers CANDU units to continue to operate safely through to 2064. In addition to the existing contracts for Unit 3 and Unit 4, SGRT has signed a long-term Preferred Supplier Agreement for steam generator replacements at the plants remaining units as part of the Bruce Major Component Replacement project. Reporting to the Contracts Manager, the Field Contracts Coordinator will play a vital role in the commercial side of our multiyear mega project. Acting as the main point of contact at the project site in the preparation and review of commercial communications within our project team, our contractors, and clients. This role will be responsible for ensuring all information is accurate and concise prior to delivery. What You Will Do Here Review commercial agreements, including requests for quotation, requests for proposals, confidentiality agreements, pre-bid agreements, purchase orders, subcontracts, contracts, consortium agreements, joint venture agreements and, having regard for their practical application and inherent risks, make recommendations to operating staff during the estimating, pre-award, construction, and post construction phases. Gather and relay key information from the field to the contracts team pertaining to impacts on the prime contract. Draft or amend contracts and commercial agreements. Prepare project specific contract administration manuals. Creation of project specific contract administration tools, policies, and procedures. Generally, assist and support the Contracts Manager or a member of the Legal/Commercial group. Assist project staff with the interpretation and practical application of contract documents. Assist project staff with identification, documentation, and quantification of changes in the Work and claims. Act as the onsite point of contact for contractual matters on the assigned project Liaise with and provide guidance on contract matters to Supervisor, other senior managers, and other team members.
