The Administrative Secretary 2 functions as an integral part of the Health Care Team and performs all duties in accordance with the Mission, Vision, Values, Policies and Procedures of Prairie Mountain Health. RESPONSIBILITIES: Overview: Provides secretarial support services to a multi-disciplinary team of health care professionals as well as represent the program to outside agencies. The Medical Clinic Receptionist performs and coordinates office/reception related activies for the Medical Clinic within the framework provided by the Prairie Mountain Health Region’s Mission, Vision, Values, policies and procedures, and in accordance with applicable legislation and standards. RESPONSIBILITIES: Overview: Provides prompt, courteous reception for the Medical Clinic including answering the telephone, screening and directing calls, and receiving/directing patients. Acts as a liaison for information between the Medical Clinic and other services within the facility. Schedules patient Medical Clinic appointments in a timely manner, suitable to the patient and physician. Arranges for referrals to other services and submits referral information as appropriate. Sets up and maintains patient data files. Verifies client personal information, including personal health information and insuring agency (if applicable) with client file on each client visit. Manages and maintains electronic and/or paper files for the Medical Clinic. Transcribes dictation and prepares correspondence, minutes, and reports as required. Gathers information and prepares routine and periodic reports in accordance with established schedules. Prepares and dispatches mail, photocopying, and faxing as required. Prepares and maintains statistical records in accordance with the policies and procedures of the Prairie Mountain Health Region.
